The administrative profession is at a crossroads. With roles evolving beyond traditional tasks, today’s admins face more variety and opportunity than ever before. Organizations now seek strategic partners who can contribute to decision-making, streamline processes, and drive success. But with this expanded scope comes the responsibility to carve out a career path tailored to your unique strengths and ambitions.

If you’re ready to go beyond the basics of your role and leverage your strategic potential, this article is for you. Drawing insights from ASAP’s 2024 State of the Profession Report, we’ll explore the essential habits that can elevate you from a supporting role to an indispensable contributor to your organization's success.

1. Anticipate Needs and Think Proactively

Strategic administrative professionals aren’t just reactive; they’re proactive problem-solvers who stay ahead of the game. By anticipating the needs of your executives, teams, or projects, you position yourself as an indispensable partner in achieving organizational goals.

Being proactive means regularly scanning the business landscape and understanding where potential challenges might arise. Instead of waiting for directions, a strategic admin looks for opportunities to offer insights and make decisions that support both short-term tasks and long-term goals.

  • Regularly review company objectives and department goals. As you track the progress of projects, consider how your daily tasks contribute to those bigger objectives. For instance, if your company is focusing on expanding into new markets, think about how you can support this initiative by streamlining internal processes or gathering competitive intelligence.

  • Use planning sessions to offer thoughtful insights. During team or leadership meetings, actively contribute ideas that align with the company’s strategic goals. For example, propose new ways to improve workflow or suggest tools that could improve team collaboration. Offering these ideas proactively demonstrates foresight and initiative.

  • Continuously evaluate your tasks and projects. Regularly reassess the priorities on your to-do list. Are they aligned with your immediate needs and the company’s long-term vision? This will show leadership that you’re not just managing tasks but ensuring each action you take contributes to broader company objectives.

2. Embrace Technology with Curiosity

Being proactive about embracing new tools and technologies demonstrates your ability to manage complexity and improve operational efficiency. This habit allows you to streamline processes, eliminate redundancies, and position yourself as a tech-savvy partner who can guide your organization through change.

  • Adopt new tools to solve organizational challenges. When your team faces a bottleneck or communication gap, research and propose new software solutions that could improve productivity. If your team struggles with project management, suggest a tool like Trello or Monday.com to help keep tasks organized and on schedule.

  • Sharpen your digital skills. Take online courses or certifications in emerging technologies, such as automation tools or collaboration platforms, and demonstrate new skills in meetings or presentations. Doing so shows that you’re committed to staying ahead of the curve.

  • Stay updated on industry trends. Subscribe to tech blogs, attend industry conferences like EA Ignite, or join communities like ASAP to learn about the latest tools and software. For example, you might implement new scheduling software that syncs with your company’s calendar system, improving scheduling efficiency and saving your team time.

3. Communicate with Influence

Strong communication isn’t just about delivering information; it’s about persuading, motivating, and collaborating effectively. Admins must develop the ability to influence decisions and advocate for their ideas while strengthening relationships across teams.

  • Tailor your communication to the audience. Before drafting emails or presenting ideas, consider your audience’s needs. When communicating with an executive, focus on high-level takeaways while providing detailed steps for team members.

  • Practice public speaking and presentation skills. Volunteer to present updates or lead discussions in meetings. For instance, if your team is adopting a new policy, offer to explain the rationale and benefits to build buy-in.

  • Build and nurture relationships across teams. Schedule regular check-ins with colleagues in different departments to understand their needs and challenges. These connections improve collaboration and position you as a trusted liaison.
