Have you ever wondered what employers look for in new hires? We posed this question to Lily Shippen, Founder of Lily Shippen Recruitment, to get her expert insights. From essential soft skills to the impact of AI, Lily shares what sets top administrative candidates apart in today’s job market.

What specific skills or qualifications do employers value most when hiring administrative professionals and office support staff today?

Lily Shippen: Employers highly value strong soft skills, with emotional intelligence standing out as one of the most critical. The ability to communicate effectively, manage time efficiently, and adapt to changing environments is key. Additionally, the ability to get under the skin of the business by understanding its goals, culture, and operations, is increasingly important as it enables administrative professionals to provide more strategic and tailored support. While technical proficiency in tools like Microsoft Office and CRM systems is important, it’s the combination of interpersonal skills and problem-solving abilities that truly sets candidates apart.

How has the role of administrative professionals evolved in recent years, and how does that impact what employers seek in candidates?

The role of administrative professionals has advanced significantly with the integration of technology and automation. This shift has enabled them to take on more strategic responsibilities, supporting business operations beyond traditional administrative tasks. Employers now seek candidates who can think critically, manage projects, and leverage technology to improve efficiency and drive business outcomes.

What soft skills stand out as essential for admins to succeed and thrive in their roles?

Emotional intelligence is paramount, as it underpins effective communication, conflict resolution, and relationship management. Additionally, adaptability, resilience, and proactive problem-solving are essential for navigating dynamic work environmentsStrong organizational skills and attention to detail further contribute to an admin’s success, enabling them to anticipate needs and support their teams effectively.

Are there any common red flags or mistakes that admins should avoid during the hiring process?

Common red flags include a lack of attention to detail, such as spelling errors in a cover letter and resume, or vague descriptions of past responsibilities without highlighting specific achievements. During interviews, candidates should avoid being overly generic in their responses; instead, they should provide concrete examples that demonstrate their skills and impact. Additionally, poor communication or a lack of enthusiasm can signal disengagement, which may concern potential employers.

How can aspiring or experienced admins effectively showcase their value and achievements in a resume or interview?

Admins should focus on quantifiable achievements, such as efficiency improvements, cost savings, or successful project management. Tailoring their resumes to highlight relevant skills and experiences for each role is crucial. In interviews, using the STAR method (Situation, Task, Action, Result) helps structure responses to showcase problem-solving abilities and the tangible impact they've made in previous roles.

What trends or changes do you foresee in hiring for administrative roles, particularly with advancements in technology and AI?

With the rise of AI and automation, administrative roles are becoming more strategic, focusing on decision-making support and project management. Candidates who embrace technology and continuously upskill in digital tools will have a competitive edge. Employers will increasingly value adaptability, data literacy, and the ability to integrate new technologies into workflows while maintaining a strong human touch through emotional intelligence.
